The Organizations Executive Director and Board Treasurer are responsible for the timely preparation of the Forms. They may confer with accountants and legal counsel of the Organization with respect to drafts of the Forms.Review of Forms Before Filing. Copies of the completed draft (including required schedules) will be distributed to the Board Treasurer in either electronic or paper form for review and approval. Any questions or concerns will be noted and addressed, and management staff will ensure that changes are incorporated as appropriate. Approval by the Board Treasurer will be recorded in the minutes of the next board meeting. Distribution of Forms to All Members of Governing Body. After all input has been appropriately addressed, the final version of the Forms (with required schedules) will be distributed to every voting member of the Organizations board for review prior to filing with the IRS. All questions and/or comments of the board received within a week of receipt of the final version of the Forms by the Organizations board will be considered and addressed, as appropriate, by the Executive Director and/or Board Treasurer. The final form may be distributed either in paper or electronic form in any manner deemed appropriate by the Organizations Executive Director.Filing of Form 990. After the final version of the Forms have been distributed pursuant to paragraph III above and any input has been appropriately addressed, the Executive Director and Board Treasurer will cause the final Form to be filed as required. Any member of Adopt A Family of Marins Board of Directors or Staff shall refrain from obtaining any list of Adopt A Family of Marins clients, vendors, suppliers, or donors for personal or private solicitation purposes at any time during the term of their affiliation.
