Part X, Line 2: The Foundation is a nonprofit organization that is exempt from income taxes under Section 501(c)(3) of the Internal Revenue Code and comparable state level as a charitable organization, whereby only unrelated business income, as defined by Section 509(a)(1) of the Code is subject to federal income tax. The Foundation has determined it is not subject to unrelated business income tax and has not filed an Exempt Organization Business Income Tax Return (Form 990-T) with the IRS. The Foundation is required to file an annual return of Organization Exempt from Income Tax (Form 990) with the IRS. The Foundation believes that it has appropriate support for any tax positions taken affecting its annual filing requirements, and as such, does not have any uncertain tax positions that are material to the financial statements. The Foundation would recognize future accrued interest and penalties related to unrecognized tax benefits and liabilities in income tax expense if such interest and penalties were incurred. 1 College Scholarships N/A N/A College Grants N/A N/A Part I, Line 2: The Financial Aid Office within the College requires students to fill out financial aid documentation to gather eligibility information for various scholarships. This information is matched to the criteria listed in scholarship gift agreements with donors. The Financial Aid Office establishes a cross-sectional Scholarship Committee to read and rank applications based on a scoring rubric. The rubric includes academic record, financial need, essay responses regarding academic and career goals, and other criteria such as community service and extracurricular activities. Once the applications are reviewed and ranked by committee members, the Scholarship Coordinator in the Financial Aid Office offers the scholarships to students who meet the donor-specified criteria. Students who are awarded scholarships receive a letter notifying them of the award. The letter includes an acceptance form that must be returned to the financial aid office and a description of the scholarship criteria. Students are asked to return the completed acceptance form and a thank you letter within 14 days of the award notification letter. The amount available each year is determined by the grant accountant in the Aims Financial Services Department and the amounts are provided to the Aims Foundation. That information is forwarded to the Scholarship Coordinator. The Scholarship Coordinator monitors acceptance of the awards. If students decline or fail to accept the scholarship (because they don't meet the criteria due to changing their program or if they decide not to enroll at Aims), the Scholarship Coordinator offers the scholarship to the next qualified/ranked student on the list. Funds are monitored throughout the academic year. Reconciliation is a joint venture between the Financial Aid Office and the Grant Accountant in Financial Services. Grants secured by both the College and the Foundation are recorded on software systems that confirms the amount and date of the gift. Prior to acceptance of the gift, the College confirms their approval of the proposal via signed documents. Once the gift is received, copies of the approved proposal and/or gift agreement are shared with all responsible parties. The document includes donor specifications, selection criteria, progress report timelines, progress report information, and distribution of the fund. Media releases are approved by the donor prior to publication. When exceptions to the suggested guidelines arise, phone calls are placed to the donor/donor representative. Changes to the approved proposal are only made following approval via documentation such as a letter or email response from the donor and/or donor representative. Follow-up includes reports based on the terms of the proposal. The College Grant Officer oversees the timeline and progress throughout the term of the grant. Any unspent dollars are recorded in the follow-up reports. When this occurs, the donor or donor representative is contacted. Unspent dollars are not retained or redirected to an alternate student or program without consent from the donor or donor representative.
