We do keep records of our assistance in ServWare software along with documents and receipts. Our assistance goes to the needy and downtrodden in our community. The client calls our helpline and our trained volunteers on duty interview them and make home visits to meet our clients where they live. Then the volunteers use their judgment according to the Rule of the Society of St Vincent de Paul to determine which type of help they can give if any at all. We also refer people to other resources in our area. Part III Line 0 Column (b) SVdP gave 3 used cars to 3 needy persons during the current year. However, this will also help the family members of the 3 individuals. Part VI, Section B, Line 1 Our St Vincent de Paul Conference follows the Rule which was established in 1835. We do not have a board but we are associated with upper levels of the Society. We have our independent tax exemption with the IRS. As for the Society we are a Conference which is on the local level. Within a broad range of rules we make our own decisions locally by using a consensus-based process. We are all volunteers who work together to develop an agreement that is good enough but not necessarily perfect. We must vote to elect our president or when consensus cannot be reached. Our 25 active members can vote while our 10 associates cannot. Everyone has their say and we are all independent. Part VI, Line 11b After preparation and line by line review by the Treasurer and Chair of Finance committee the Form 990 and its schedules are presented to the president first. After filing at the next meeting all information is presented to all members. Extra copies are available for any members asking for one. Part VI, Line 19 Our conference makes our governing documents available to the public on the IRS website the Guidestar website and by giving a copy to anyone who requests the documents. We annually send a copy to the St. Vincent de Paul Council of Pensacola-Tallahassee. Our financial information is provided on our Form 990 and Annual Report which is filed with the National office of the Society of St. Vincent de Paul each year. If a conflict of interest were to arise the member involved is asked to leave the meeting while the others resolve the issue.
